Billing & plans
Per-mailbox seats, intervals, trials, cancelling and recovery.
Sortfully bills per mailbox — one seat for each mailbox you connect. The Billing page shows your seats, your plan, and your invoices, and is where you change or cancel.
On a business account, Billing is owner-only. Admins manage the team but not the money. Individual accounts always see their own Billing. See Teams & organisations.
Seats
- One seat per connected mailbox. A live meter shows seats in use against seats paid for, and warns if you have more mailboxes than seats.
- Disconnecting a mailbox frees its seat (Settings).
- Adding a seat takes effect immediately and is prorated for the rest of the current period.
- Removing a seat takes effect at renewal — there's no mid-cycle refund, and the seat stays usable until then.
Monthly or annual
You can bill monthly or annually (annual is available on business plans). The page previews the new amount before you confirm a change.
Free trial
New accounts can start on a free trial. During the trial, new mail files live as normal, but backlog cleanup is capped to a daily number of messages. When the trial ends, filing pauses until you subscribe — nothing is deleted, and your mailbox and folders are left untouched. A banner counts down the days remaining.
Invoices
The costs & invoices section shows your unit price, total, interval and next billing date, and lists past invoices with a downloadable PDF for each. It loads on demand, so a payment-provider hiccup never blocks the rest of the page.
Cancelling and coming back
- Cancel stops the plan at the end of the current period, not immediately — you keep filing until then, and there's no refund for the remainder.
- After the period ends, filing stops and Sortfully disconnects from Microsoft.
- Your data then enters a recovery window (about 30 days). Resume (or resubscribe) any time before it closes to pick up exactly where you left off.
- Prefer a clean break? You can delete your data immediately instead of waiting out the window.
Upgrading to Business
An individual account can upgrade to a business organisation: you complete checkout first, then name your organisation. After that you can invite teammates and manage seats centrally — see Teams & organisations.
