Health & connection

Connection status, processing speed, and reconnecting.

The Health page tells you whether Sortfully's connection to your mailbox is working, and lets you fix it if it isn't.

Why a connection needs maintaining

Microsoft's real-time mail notifications (Graph subscriptions) expire in under three days by design. Sortfully renews them automatically — checking every 30 to 60 minutes inside a safety window — so filing keeps running without you doing anything. The Health page shows this as a countdown, e.g. renews in ~Xh.

Shared mailboxes don't use real-time subscriptions; they file on a regular polling sweep instead, so that check reads Not required for them.

The status checks

Each check shows pass, warning, fail or not-applicable, with a short description:

  • Renewal sweep — are the real-time subscriptions being kept alive?
  • Delta reconciliation — is Sortfully's view of the mailbox in step with Outlook?
  • Token validity — is the Microsoft access token still good?
  • Notification subscription — is the live webhook in place? (Not applicable for polling shared mailboxes.)

An overall badge reads Active when the mailbox is healthy, or Inactive if it isn't.

Processing speed

Two live meters show how fast mail is moving and how much capacity is in use:

  • Clean-ups — the rate the backlog sweep is working through older mail, with an estimate for a large inbox.
  • New mail — how quickly newly arrived mail is filed.

These pace themselves deliberately to stay well under Microsoft's throttling limits.

When a mailbox needs reconnecting

If Microsoft revokes access — usually because a password changed, consent was withdrawn, or the token expired — the mailbox enters a Re-auth needed state. You'll see an orange badge on the mailbox (on Health, in the sidebar, and in the top bar). Filing for that mailbox pauses until you fix it.

To reconnect, use the Reconnect prompt and sign in with Microsoft again. Nothing is lost — your mappings, history and folders are all intact, and filing resumes as soon as the connection is restored.
